Groups identify a subset of the members in your loyalty program. You can use a group as a marketing list for targeted recognitions, communications, or campaigns.
You can use any combination of models or rules to define a group. (A rule is a collection of criteria that the system uses to identify Loyalty members and include them in a group. A model is a collection of two or more rules that work together to define a group. For example, you might use a model when you want a single list of members who fit one set of criteria or a second, separate set of criteria.)
To build a group:
- In Loyalty Admin, go to Campaigns > Groups > Add New Record.
- In the Name field, enter a name for your group. Optionally, use the Name Alt Lang field to enter a name for your group that will appear instead of the default name when the system is using language other than English.
- In the Club field, select a club to have only members of that club included in the group, regardless of the other criteria you specify. If you specify no other criteria, the group is the entire club. If you leave Any in the Club field, members are included in the group based on the other criteria you specify, and the system doesn’t consider club membership. See also: Clubs
- In the Parent Group field, select an existing group to have only members of that group included in this group, regardless of the other criteria you specify. (In other words, a child group creates a subset of a parent group.) Leave Any in the Parent Group field to have the system ignore other groups and include members in this group based other criteria you specify.
- In the Rule and Model fields, specify any rule or model to determine the members included in the group. If you specify both a rule and a model, members must meet the criteria of both to be included. See also: Rules, Models
- In the Exclude Group field, select an existing group to exclude members of that group from this group. (In other words, the Exclude Group removes a subset of members identified through the rest of the criteria you specify for the group you’re creating.) See also:
Tip: If you’ve created a group for trial or testing purposes, you can use this field to exclude members of that group from any functional groups you create. This field is also helpful when you're building a group for tiered loyalty programmes.
- The Number of Members field shows how many individuals currently meet the criteria you’ve specified for the group. Click Recalculate Now to have the system analyse the criteria you’ve specified and update this number.
Note: Recalculation of large groups can take some time. To keep your system running smoothly, avoid recalculating during peak operation times.
- In the Schedule Calculation field, select one of the following options to determine when the system reanalyses the criteria you’ve specified and rebuilds the group.
Note: In the Calculation Time fields on this page, the system shows the next time the group will be recalculated and the start and end times of the last recalculation.
- Never. The system doesn’t recalculate the group.
- Next Save Only. The system recalculates the group when you save Add/Modify Group page.
Note: Recalculation of large groups can take some time. To keep your system running smoothly, avoid recalculating during peak operation times.
- Night Batch. The system recalculates the group once daily, overnight. Use this option for groups based on criteria that doesn’t change, such as member’s birthday, or on criteria that is also updated once a day, such as number of days a member has been in the loyalty program.
- Recurring from Scheduled Time Onwards. The system recalculates the group throughout the day as part of a scheduled task. Use this option for groups based on criteria like transactions or points accumulation.
Note: Contact your Vista representative for details about your system’s scheduled tasks.
- In the Level field, enter a number to set the order in which the system recalculates the group. For example, you might set a parent group to 1 and a child group to 2.
Tip: Be sure that any dependent groups have a higher-number level than the groups they depend on. For example, a group that uses an exclusion needs a higher number than the exclusion group. Such a configuration ensures the system calculates the members of the exclusion group first, and then excludes that up-to-date list from the group that uses the exclusion group.
- Select the Locked check box to prevent the system from recalculating the group during any scheduled task.

- In the Extract Template field, specify the template used when the group is extracted for use in a third-party system. The default template is LoyaltyGroupExtract. This field and the External Reference field are helpful when you're building a group for targeted communication with Loyalty members.
- In the Retention section, you can specify that loyalty program members who are added to this group stay in the group for a minimum period of time. These settings are particularly useful when you're building campaign groups it identify Loyalty members for a tired loyalty programme.
Take action on configured groups
Use the buttons at the bottom of the Add/Modify Group page to take action on the list you’ve built with the group. Review the list of identified members or set up recognitions to be used with this group. Contact the group members by email or export the list so you can contact them through a third-party content provider or communications management tool. Save your changes when you’ve finished your configuration.
