Editing a table booking or waitlist record
You can edit a table booking or wait-list record to accommodate a change in venue, number of guests, or date and time. You can also add a special request (for a table by the window or a nut-free meal, for example).
- On the Table booking screen, select the relevant booking and tap Edit.
Note: When a table is already assigned to the booking, you can't edit the Venue, Number of Guests, Date, and Time fields. You must clear the table assignment first.
- Enter any specific requests in the Comments box (for example, nut-free meal).
- When editing the time, tap Request Time.
If the new requested time is not available, a list appears suggesting nearby times. If no other suitable time is available, you can cancel the booking or select Override Validation to force the change. - Tap Enter to save and exit.
A wait-list record can be edited similarly. The only field that can't be edited is Estimated Wait.
Assigning a table to a booking or a patron on a waitlist
When a patron arrives at the restaurant, you can assign a table to their booking. If no table is available, you can add the patron to your wait list and assign a table when it becomes available
- On the Table booking screen, select the desired table booking or wait list record.
- Tap Assign to Table.
- On the Table Layout View, select the desired available table.
Tip: If there are more diners than seats at a table, you can keep selecting tables until all the diners have a seat. The tables will be joined together in the table booking. Alternatively, you can assign the diners to one table—regardless of whether there are more diners than seats—and inform the staff so they can provide more seats.
- Tap Done.
Note: The table status is only set to Reserved when the booking start time is reached. From then on, the table isn't available to other servers.
The system reserves the table for a specific duration based on the number of guests. When the number of guests is not specified, the system estimates the duration of the booking based on the number of seats at the table.
The duration of the table booking is configured in the Venue Facility form in Cinema Manager.
Note: Depending on your cinema configuration, you may not be able to create a near-time booking. For example: a table will be unavailable for booking for four guests from 7:01 pm if it has a booking at 9 pm, as four guests are expected to dine for around two hours. This ensures the table is available for the 9 pm booking.
Making a table unavailable
Making a table unavailable prevents it from being assigned to a booking or waitlist record.
- Tap Change Table Availability.
- Toggle the desired table to change its availability.
Starting the service delay timer
When diners have arrived for a particular booking, you can start a timer to track how much time has elapsed between their arrival and when they receive restaurant service.
- Select the desired table booking or waitlist entry.
- Tap Arrived. The timer starts counting, and stops counting when Start Check is tapped.
Overiding availability validation
Vista typically enforces availability validation when table bookings or waitlist entries are created. This ensures that a table is not double-booked.
A manual override is available to managers when exceptional situations arise. Configure the system setting POS-SECURITY.SecurityOverTableBookingVal to enable the override.
- Select or create the desired table booking or waitlist entry.
- Tap Override Validation.
- Enter the relevant manager credentials.
- Enter or update booking details.
