Add or modify a group from Loyalty Admin > Campaigns > Groups.
Tip: To export the memberships of a group, select a group and click Show List. Accept the file download prompt. Note that the spreadsheet file includes a Random Number column which you can use as needed. For example, you could pick the winner of a competition by selecting the membership with the highest or lowest number.
Option | Allowed Values | Description |
Name |
|
A label to describe the group. |
Club |
Any configured club |
The club from which this group's members will be selected. Choose Any to create a group that can contain members from any club. |
Parent Group |
Any configured group |
A different group, that forms the (limited) set from which this group's members are selected. Choose Any to select this group's members from the widest possible set of members. By using parent groups, you can construct a hierarchy of successively narrower demographic profiles. For example, you may create a group Recent Movie-goers using a rule to include those who have attended a film in the last 6 months. You can then create a second group, Recent Movie-going Women, using Recent Movie-goers as a parent group and a rule that selects only a specific gender. You do not need to apply the recent attendance rule to this group, because it has already been applied to the parent group, and Recent Movie-going Women will only draw from members belonging to the parent group. A third group, Recent Movie-going Teenage Girls could use Recent Movie-going Women as a parent group, with a rule that selects members aged 13–18. Models are a more powerful method of combining rules in this way, but parent groups have the advantage of simplicity (which results in better performance). By creating parent groups, you also end up with a hierarchy of groups, any of which can be used independently in a campaign. |
Rule |
Any configured rule |
The rule that determines which members are included in the group. Choose either a rule or a model to define the members of the group. Vista recommends against defining a group by both a rule and model. Note: only standard rules (not At Purchase rules) are available to be selected in this field. |
Model |
Any configured model |
The model that determines which members are included in the group. Choose either a rule or a model to define the members of the group. Vista recommends against defining a group by both a rule and model. |
Exclude Group |
Any configured group |
A different group, whose members will be excluded from this group. Use this field to create exceptions to this group's rule or model. |
Number of Members |
Display only |
The number of members currently belonging to this group. This value is calculated automatically, and cannot be edited. |
Schedule Calculation |
Next Save Only Night Batch Recurring from Scheduled Time Onwards Never |
Determines how often the content of this group is recalculated. Next Save Only: The group's members are calculated when the Save button is clicked. The group is not updated unless the group is saved again. Night Batch: The group's members are calculated every night, during overnight processing. Recurring from Scheduled Time Onwards: The group is recalculated every time a Loyalty member's information changes (to a maximum of once per minute). Never: The group's members are calculated once, and never updated. |
Display only |
Indicates the level of the group in a parent-child group hierarchy. Groups that have no parent group are level 1; groups with a parent, but no "grand-parent" are level 2, and so on. This field is calculated automatically and cannot be edited. |
|
Locked |
Cleared Selected |
Indicates that the group is temporarily locked by some process (for example, by the Night Batch), and cannot be updated or modified. If the locking process or its host computer is unexpectedly shut down, the group may remain locked. Clear this option to allow the group to be recalculated, after ensuring that the locking process is stopped. |
Next Scheduled Calculation Time |
Display only |
The estimated time when this group will next be recalculated. This field is calculated automatically and cannot be edited. |
Last Calculation Time Start |
Display only |
The time when this group's last recalculation began. This field is calculated automatically and cannot be edited. |
Last Calculation Time Finish |
Display only |
The time when this group's last recalculation finished. This field is calculated automatically and cannot be edited. |
Extract Template |
Any present template |
The template used to construct an extract file of this group when the Create Extract File button is clicked. Default: LoyaltyGroupExtract. |
Name Alt Lang |
1–100 characters |
The name of the group in your organisation's alternative language. |
External Reference |
1–100 characters |
Third-party reference code used in extracts. |
Retain |
Cleared Selected |
If the checkbox is selected, once a member is moved in to the group, they will retain the status for the length of time determined by the Retention Period. This can be used to prevent members losing a status shortly after they have attained it. For example: A member gains enough points and is moved from Standard to VIP. The Retain checkbox on the VIP group is selected with a retention period of 6 months. This means the member will retain VIP status for six months, even if they spend points and drop below the VIP threshold. If retention is not configured, the member would lose the VIP status as soon as they spent points causing them to drop below the VIP threshold. |
Retention Period |
Any number |
Determines the length of time for which members retain the group status once they have received it, based on the selected Retention Period Unit. For example: 6 months, 1 year |
Retention Period Unit |
Day Week Month Year |
The calendar unit used to determine the length of time for which members retain the group status once they have received it, in conjunction with the Retention Period. For example: 6 months, 1 year |
Retention Expiry |
Daily Weekly Monthly Quarterly Annually |
The period on which expiry calculations are based. These can be used to 'round' the expiry date to the nearest calendar unit. For example: If a member attains a group status on Saturday January 15th 2011, and the retention period is set for 1 year, each Retention Expiry setting will result in a expiry date. Daily - January 15th 2012, Sunday Weekly - January 19th 2012, Thursday Monthly - January 31st 2012, Tuesday Quarterly - March 31st 2012, Saturday Yearly - December 31st 2012, Monday |
Record Group History | Cleared Selected |
Determines whether Group retention data (the dates members entered and exited a Group) is recorded so that it can be used for future contact with members and future campaigns. Important! To record membership history, you must select the Retain checkbox. Also, confirm with your Vista representative that the Database Clean-up scheduled task is enabled. Note: The system setting ClearGroupTrackingMonths controls whether and how long data is retained before automatic deletion. To review membership history information of a loyalty member, go to Loyalty Admin > Members. |
