Controlling stocktakes – Help Centre

To minimise the risk of errors, you may wish to restrict or enforce when a stocktake can be created and performed.

A number of Cinema Manager's system settings allow you to set up the following controls:

A stocktake can be created for today and yesterday only.
The stocktake can be finalised on or after its Stocktake Date.
A warning is displayed for open stocktakes when closing the day on the last day of a week, month, or quarter.

For example: ABC Cinemas needs to complete stocktakes at the end of every week (Sunday) and quarter. The cinema manager sets SITE.ConcStartDayOfWeek to 1, and STOCK.StartMonthOfYear to January, and STOCK.LastDayOfMonth to 31. She wants to prevent days from being closed if these stocktakes are still open, so she sets STOCK.CheckEODOpenStocktake to Error and STOCK.CheckEODOpenStocktakeFrequency to Weekly and Quarterly. She does not need to restrict the creation of stocktakes to today and yesterday so sets STOCK.LimitStocktake to No limit.

STOCK.StocktakeCloseDateIsUpdateDate	Yes No	Determines whether the stocktake end date and time is updated when finalising a stocktake. By default, a stocktake cannot be finalised until after the end of its Stocktake Date (i.e. its end date and time is the end of the business day). Yes: The stockdate end date and time will be set to the date/time when it is finalised. No: The stockdate end date and time is set to the end of the stocktake's business day.
SITE.ConcStartDayOfWeek	1-6	The start day of the cinema week for concessions and stocktakes. Sunday = 1
STOCK.CheckEODOpenStocktake	No Warning Error	Determines whether a check for open stocktakes is performed at the end of day. No: No check is performed. Warning: If a stocktake is open, an alert is displayed and the day can be closed. Error: If a stocktake is open, the day cannot be closed.
STOCK.CheckEODOpenStocktakeFrequency	Daily Weekly Monthly Quarterly Weekly and Monthly Weekly and Quarterly	Sets the frequency at which a warning or error message is displayed in the End of Day Wizard when an open stocktake exists at the cinema.
STOCK.LastDayOfMonth	Any day of the month	Determines the last day of the month for stocktakes. A warning is displayed for stocktakes that are open on the last day of each month. If set to a value greater than 28, the last day of the calendar month will be used for months with fewer days.
STOCK.StartMonthOfYear	Any month	Determines the starting month of the year used by the Stocktake process when a stocktake must be completed at the end of each quarter. A warning is displayed for open stocktakes at the end of each quarter. For example: If this setting is set to January, quarters will end at the end of March, June, September and December.
