When you create a corporate booking, by default all items are available at their base prices. You can use price books to restrict the range of items that are available for a booking and vary their prices.
Before you begin
- You need the following permission from your user group: Group Sales Security > Users have Price Book Administration access.
Enabling price books
Price books are disabled in Group Sales by default, so you need to enable them in the system settings.
- In Head Office, go to Maintenance > System settings.
- Set GroupSales_PriceBooksEnabled to Y.
- Click Save.
Note: Changes to Group Sales system settings do not take effect for approximately 3 hours. To implement the change immediately in a Vista Classic system, restart the Group Sales IIS service. Group Sales will be unavailable for a few minutes.
For Vista Staff: To implement the change immediately in a Vista Cloud system, roll the Head Office pods. All services deployed to the Head Office box will be unavailable for a few minutes. Do not roll pods during the customer's business hours.
Selecting price books in Group Sales
Next, select the price books that will be available in Group Sales.
- In Group Sales, go to Settings > General > Price books.
- This page displays all the price books from Head Office. To use a price book in Group Sales, check the Available to Group Sales checkbox.
When you create an inquiry, you can select a price book and add items from it to the booking. See Entering booking details.
Assigning default price books
Optionally, set the price books that will be selected by default when you create a booking.
To assign a default price book to a site:
- Go to Settings > General > Price books.
- Open the price book.
- Enter the site name into the Sites field.
- Click Save.
Note: A price book can be linked to more than one site, but each site can only have one price book assigned.
To assign a default price book to a customer:
- Go to Customers.
- Open a customer, then click Edit customer.
- Set the Default price book.
- Click Save.
Note: If both the customer and the site have a default price book, the customer's default will take precedence.
