Manually editing a record in the Staff times maintenance form in Head Office and Cinema Manager may have unintended consequences for a later Staff time record.
For example, increasing the hours that an employee worked on a Wednesday could push that employee's weekly total above the Overtime Threshold, which would affect the Friday record's pay rates.
The following limitations apply to the editing of a Staff time record, where doing so could affect the overtime calculation of a later record.
- If the later record has been uploaded to Head Office, the earlier record cannot be edited.
- If the later record is linked to a closed staff time day, the earlier record cannot be edited. To edit the record, the system setting StaffTimeAllowReopenClosedDay must be set to Yes, and a manager must manually re-open the day. When the day is re-opened, the earlier record can be edited. The later record will be automatically adjusted for any overtime correction and marked Review Required.
- In all other cases, editing the earlier record will cause the later record to be automatically adjusted for any overtime correction.
Note: It's possible to edit multiple records in Staff times simultaneously without affecting overtime calculations, provided that the resulting total hours worked do not cross an overtime threshold. In the example above, the hours worked on Wednesday could be safely increased provided that Thursday's hours were decreased by the same number, at the same time. This would leave Friday's overtime calculation unaffected.
